Daily and quarterly inspection records for body protection vests should be systematically archived, managed by designated personnel, and traceable to ensure equipment safety and clear accountability.

Whether it's a daily quick inspection or a quarterly in-depth inspection, complete record keeping is not only a crucial aspect of equipment management but also a basis for tracing responsibility and assessing risks in critical moments.

 

1. Record Content Should Be Complete and Standardized After each inspection, an inspection record must be filled out immediately, including the following core information:

Inspection Date and Time: Accurate to the day for easy tracking.

Inspection Type: Labeled as "Daily Inspection" or "Quarterly Inspection".

Inspector's Name and Position: Assigning responsibility to a specific person.

Body Protection Vest Number/Unique Identifier: Each piece of equipment should have a unique number to avoid confusion.

Inspection Item Details:
Appearance condition (whether there is wear, stains, or deformation);
Structural sturdiness (stitching, buckles, and insert plate fixation);
Insert plate condition (whether there are bulges, cracks, or abnormal noises);
Cleaning and signs of use;
Judgment Result: Normal/Abnormal/Out of Service/Pending Inspection.

Handling Opinion: Such as "Continue to use," "Send for repair," "Scrap," etc., and confirmed by the responsible person's signature.

 

2. Record Preservation Recommendations
Paper Archives + Electronic Dual Backup: Complete the "Bulletproof Vest Inspection Record Form" in paper format, which will be archived by the equipment management department; simultaneously, scan and upload it to the internal management system to prevent loss.

Storage Period: Retain records for at least 5 years, matching the theoretical lifespan of the bulletproof vest, facilitating long-term traceability.

Dedicated Personnel Management: Designate an equipment administrator to be responsible for collecting, reviewing, and storing records, and submit them to higher-level departments for periodic spot checks.

 

3. Digital Management Improves Efficiency (Recommended) Use an internal management system or dedicated app to input inspection data, supporting photo uploads, location timestamps, and automatic reminders for the next inspection date.

High-risk units (such as SWAT teams and security companies) can connect to RFID tags or QR code systems to achieve rapid registration by scanning a unique code on each garment.
